Why this exists

The audit makes the invisible visible

Most businesses feel the pain before they can name the fix. The audit turns “we’re entering the same information into three systems” into a map, a matrix, and a staged plan — so you can say yes to one piece at a time.

Numbers don’t match

“We’re re-typing orders and stock drifts out of date.”

→ The map shows where the same fact is entered twice and where one sync removes the drift.

Memory runs the business

“One person knows the process. Everyone else guesses.”

→ The walkthrough makes the flow explicit, so a tool — or a simpler fix — can own it, not a person’s memory.

Scope

What the audit covers

Six lenses — enough to see where the return is, small enough to finish in days.

Tool stack & data-flow mapping

Every app, spreadsheet, inbox, and database that touches the process — who owns it, what it holds, and where it gets re-entered.

Workflow walkthrough (quote → cash)

Follow the real work end-to-end. Where the wait is, who does what by memory, and what quietly falls between the cracks.

Spreadsheet & workaround teardown

The fragile file that keeps the business running — what it does well, where it breaks, and whether it should become software or just be replaced.

Integration readiness check

Which systems have APIs, which resist connection, and where a single data sync would save hours. We check what’s real before recommending it.

AI opportunity scan (conservative)

Where AI earns its place — and where it doesn’t. Drafting, classifying, extracting, and answering, always with a human checkpoint.

Security & backup basics

Access, backups, and single points of failure. Straight talk on the basics most small businesses miss — no scare tactics.

Inputs — what we look at

Works with the tools you already have

We read the operation, not the sales brochure. Typical inputs we map (read-only, only what you’re comfortable sharing):

  • Accounting — Xero / MYOB
  • CRM — HubSpot / Salesforce / Pipedrive
  • E-commerce — Shopify / WooCommerce
  • Spreadsheets — Excel / Google Sheets
  • Inboxes & forms — Gmail / Outlook / Typeform
  • Booking — Calendly / Acuity
  • Databases & files — Notion / Airtable / Drive
Approach

How we approach a discovery audit

We start with the work itself: the job that gets delayed, the spreadsheet someone guards, the three systems that never agree. The audit is the missing first phase — mapping the operation before anyone quotes a build.

The verdict is deliberately impartial. If the right answer is a product you should buy, a setting to change, or a process to leave alone, that’s what the roadmap will say. Earning your trust on the small things is how we earn the bigger work — and it’s why you keep the artefact whether you build with us or not.

Questions

Common questions

Do you charge for advice?

Useful advice is part of how we work — the 15-minute scoping call is free. The audit itself is the paid, written artefact you keep. We quote it up front after scoping, so there are no surprises.

Do you do it remotely?

Yes — entirely online. We schedule around your time zone (NZ business hours, AU-aligned) and run the sessions over video. The map and roadmap are delivered as documents you can share internally.

What if we already know what we want built?

Then the audit is faster. We confirm scope by mapping the flow it touches and tell you if the plan is sound, smaller, or staged better — sometimes the right verdict is “build the smaller thing first.”

Will you pitch me a build after?

Only if the roadmap ranks a build as the top-value item. We also recommend products to buy and things to leave alone. No obligation — the roadmap is yours whether the next step is with us or not.

What do you need from us?

Access to the people who do the work, and read-only access where helpful (tools, sheets, inboxes — only what you’re comfortable sharing). We handle credentials server-side and summarise, never copy, sensitive data.

How soon can you start?

Usually this week or next. After the scoping call we confirm which tier fits — Starter, Standard, or Full — and book the interview. Delivery is typically 2–6 working days from interview.

What comes next

From map to first fix

The audit is the missing first phase. When you pick a stage, it connects — no rebuild.

Tell us what you want to improve

Start with the map, not the build.

Book the audit — you’ll get the map, the matrix, and the costed roadmap. Even if the right answer isn’t us, you’ll know what’s worth fixing and what to do next.
